How we work
A clear process, so you never have to chase.
Every shipment follows the same five steps. At each one you know what we are doing, what you will receive, and when.
The process
From brief to close-out.
Brief
You tell us what you are shipping, from where to where, and by when.
- You receive
- Confirmation that your request is with a named specialist, and any questions we need answered to quote accurately.
- When
- When your request arrives
Use the quote form, email or a call. The more we know about weight, dimensions, packaging and Incoterm, the more precise the quote. If you are unsure about any of it, say so: helping you work it out is part of the job.
Quote
We compare carriers and routings, then send one clear recommendation.
- You receive
- An itemised, all-in quote: freight, surcharges, documentation and any optional services, with transit guidance and validity stated.
- When
- Within {{TODO: quote response time}}
Where there is a real trade-off, for example a faster sailing at a higher rate, we show you both options and explain the difference. Our quotes state what is excluded, such as import duties and taxes, so nothing is assumed.
Booking and documents
On your approval we book space and prepare the paperwork.
- You receive
- Booking confirmation with carrier, schedule and cut-off dates, plus a checklist of the documents we need from you and your supplier.
- When
- Before the cargo moves
We check the commercial invoice, packing list and transport documents (B/L, AWB or CMR) against each other and against the booking. Discrepancies are far cheaper to fix before departure than at the destination border.
In transit
We follow the shipment and keep you informed at every milestone.
- You receive
- A short update at each milestone: collected, departed, arrived, cleared. And an immediate call or message if anything changes.
- When
- At every milestone
Updates come from your named contact, not an automated system, and they include what happens next. If a vessel is delayed or a flight is rolled, you hear it from us first, with the options.
Delivery and close-out
We confirm delivery, close the file and make sure the paperwork is complete.
- You receive
- Proof of delivery, final documents, and an invoice that matches the quote you approved.
- When
- On delivery
If any charge differs from the quote, for example because the cargo measured differently or the scope changed, the invoice explains why. We then ask how it went, and we take the answer seriously.
To prepare a quote
What we need from you.
Five minutes of information saves days of back-and-forth. If you do not have all of it, send what you have.
- Origin and destination: city and country, and whether collection and delivery are from a business address, port or warehouse
- What the goods are, and whether they are dangerous, temperature-sensitive or oversized
- Number of pieces, packaging, total gross weight and dimensions or volume
- When the cargo will be ready, and how time-sensitive the delivery is
- The Incoterm agreed with your supplier or buyer, if known (see Incoterms® 2020 explained)
- For dangerous goods, the Safety Data Sheet (SDS)
Communication
How we keep you informed.
One person, by name
Your contact is named on the quote and stays with the shipment. If they are away, a colleague is briefed and introduced to you in advance.
Your preferred channel
Email, phone or WhatsApp. Whichever you choose on the quote form is how we will reach you, with written confirmation of anything that matters.
Bad news early
Delays, roll-overs and inspections happen in freight. What matters is hearing about them promptly, with options, so you can inform your own customers.
When things go wrong
Accountability is tested by problems, not by brochures.
If cargo is delayed, damaged or held, your named contact takes ownership of the issue. We gather the facts from the carrier and terminal, tell you what happened and what we are doing about it, and keep you updated until it is resolved.
Where a claim is needed, we help you prepare it and pursue it with the carrier under the applicable convention: the Hague-Visby Rules for sea, the Montreal Convention for air, or the CMR Convention for road. These conventions limit a carrier's liability, which is why we advise cargo insurance for goods of significant value. {{TODO: confirm whether Cargo Captain arranges cargo insurance, and state the company's own liability insurance}}
Tell us what you are shipping.
You will receive a clear, all-in quote within {{TODO: quote response time}}. No obligation, and your details are never shared.
